Whether you are launching a new virtual bookkeeping business or trying to make your existing business more efficient and scalable, you probably know that it can take years of trial and error to figure out the best way to run a bookkeeping business. You are probably also very aware that all that time is costing you money. Most people would rather skip past that trial and error and follow a proven roadmap, if they can find one.
In this blog post I want to give you a behind the scenes look at my course in the 5MB Academy, The Virtual Bookkeeper’s Roadmap, which was designed specifically to show you how to do it right. This course is filled with the workflows, tools, and processes I’ve used to build a thriving virtual bookkeeping practice. If you would like to get a better feel for what’s included and what you get if you enroll in this program, check out the video below for a walk through, or read on for more details.

What the course is all about
The Virtual Bookkeeper’s Roadmap shows you the workflow and tools you need to build a successful QBO bookkeeping business. You might have some accounting and bookkeeping knowledge, you may know QuickBooks Online, but you may not know what needs to be done day-to-day to run your bookkeeping business, and run it efficiently.
One of the reasons I was able to build a team and why I now spend only about 20% of my time on client work is because I’ve systematized my business. I’ve developed my workflows and standardized the way I do things. Over the years, I’ve found what works, what’s efficient, and what doesn’t work. This program is a culmination of all of those years of systematizing and finding efficiencies so you can avoid the things that don’t work and bypass years of extra effort.
What’s included in The Virtual Bookkeeper’s Roadmap course?
When you enroll in The Virtual Bookkeeper’s Roadmap course, you get lifetime access to all the course resources, including:
- Video lessons
- Forms
- Checklists
- Workflows
- Flowcharts
- Scripts
- Meeting agendas
- and more!
As I said, it’s a culmination of the years that I have spent developing my own virtual bookkeeping business, as well as a very large financial and time investment on my part to pull it all together.
You even get access to an exclusive student Facebook group with a monthly Q&A to make sure you’re getting absolutely everything you can out of the course. I’m right there alongside you, helping you to implement your workflows and be successful.
I love hearing stories of how this course has helped my students. Helping them create the bookkeeping business of their dreams is why I built this course in the first place. It’s been incredible to hear several of them say the course was life-changing! It gave them the tools to run their business more efficiently, make more money, free up more of their time, and gave them the confidence to grow and take on new and better-paying clients. You really DO have the ability to change your life.
What will The Virtual Bookkeeper’s Roadmap give you?
I want to share some highlights of what you will discover in this course:
#1 – Virtual Bookkeeping Business Basics
In this course, We’ll start with the basics of establishing a virtual bookkeeping business. (In the program I’m not teaching you how to do bookkeeping, I’m assuming that you know how to do that already).
Here’s what I am going to show you:
- An efficient process for completing your client’s books
- How to set up a monthly bookkeeping project template
- How to manage your work status and due dates
- Sample bookkeeping calendar
- Sample monthly bookkeeping project templates
- Project components
- and more!
You’ll have detailed steps you can use in your own business to work more confidently and efficiently than ever before. Whether you are just starting out, or if you’re looking to scale or even just to hire contractors, this course can provide you with the tools you need.
#2 – Building your Tech stack
We will dive deep into building your tech stack as well. This is how you avoid wasting your time with a bunch of random apps, and instead learn to select specific apps that will enable you to deliver great virtual services to your clients. You’ll find out how to keep it simple so that you don’t get overwhelmed. You’ll even go through an essential apps worksheet, to help you figure out which apps you should be using.
#3 – Client Onboarding tools
We also cover client onboarding, which is a huge issue for many bookkeepers. We talk about how to bring on new clients, how to set the right tone when you start working with them, getting all the documents that you need, getting everything on time, and getting them going quickly. Along with the videos, you’ll get lots of onboarding resources including:
- flowcharts
- checklists
- scripts
- a welcome message
- introductions
- scripts and agendas for client kickoff meetings and client hand-off meetings
#4 – Monthly Bookkeeping Workflows
With those clients on board and ready to go, we’ll cover monthly bookkeeping workflows and managing your work status and due dates. I take you through the 5 steps of completing your client’s monthly bookkeeping and the monthly bookkeeping review workflow and checklist to ensure you’re providing top-quality service. I also include a manager’s review, for those bookkeepers who have a team doing the day-to-day bookkeeping.
#5 – Improving productivity
We’ll also cover document management, team collaboration, and improving your productivity. We take a look at organizing all of the client documents, storing all of that in the cloud, and how we organize them for ease and efficiency.
We have a section showing you how to improve your productivity, including our team meeting agendas, staff time allocation reports, how we track our key performance indicators, our file scheme, etc.
#6 – Building a Knowledge Capital
Lastly, I talked about building a knowledge capital, and really that’s the key to multiplying the value of your business.
One of the challenges that we have as service-based businesses is that a lot of our knowledge is retained either within us as the business owner, or our employees are retaining a lot of knowledge. We need to harness that knowledge and document it. So I show you how to do that, to build a knowledge capital library basically so that you can start really taking all of the knowledge that you have and documenting it so you can make it available for your team.
#7 – Bonus: Service Packages demonstration
As a bonus, I threw in an extra recorded session with one of my students where I helped him review his service packages. Building packages is a challenge for a lot of bookkeepers, so this session can really help you take out the guesswork.
